E-Permit and Processing
The processing time for E-Permit applications (DTCM/DED/DCT) is typically 1-2 weeks, pending receipt of all necessary documents. Approval is solely at the discretion of the governing authorities. Amendments requested by the client or additional information mandated by the authorities may result in additional charges, which will be billed accordingly.
Approval of the documents and the event permit is solely at the discretion of the relevant government authorities, and Nexa Event L.L.C. has no influence over their decision-making process. Our role is to ensure that the submitted documents adhere to the prescribed government requirements to the best of our understanding and to minimize the risk of rejection. However, documents cleared by Nexa Event L.L.C. may still be subject to further scrutiny or rejection by government authorities.

Amendments and Adjustments
Changes to event permits, including performers, speakers, or dates, must be submitted at least 3 working days before the event (excluding the submission day). Amendment fees may apply for modifications.
Event Setup and Build-Up Permits
Build-up permits for events in Abu Dhabi and Dubai are subject to regulatory compliance with DCT and DM, respectively. Clients must provide all necessary floor plans and documentation required for the approval process. Nexa Event L.L.C. ensures timely submissions, but approvals remain at the discretion of the authorities.
Equipment Rentals
Equipment rentals, including printers, scanners, and laptops, must be booked at least 7 days in advance. Any damages or delays in returning rented equipment will result in additional charges, which will be billed to the client.
Customized Services
Services such as custom t-shirt printing, badge printing, and souvenir creation require a minimum lead time of 10 working days. Clients must approve the designs before production begins. Any last-minute changes may result in additional costs and delays.
Client Responsibilities
Clients are responsible for providing accurate and complete information required for event permits, equipment rentals, and other services. Any delays caused by the late submission of required documents or incorrect details may impact project timelines and result in additional charges.
Privacy and Data Handling
Nexa Event L.L.C. respects the confidentiality of client data. All personal and event-related information shared with us will be used solely for the purpose of event execution and regulatory compliance. We do not share client data with third parties, except as required for permit processing or other related purposes.
Marketing and Promotional Use
By engaging Nexa Event L.L.C. services, clients agree to allow the use of their logo and event images for marketing purposes on our website, brochures, and social media platforms, unless expressly stated otherwise in writing.
Intellectual Property
All designs, promotional materials, and intellectual property created by Nexa Event L.L.C. for events remain the property of Nexa Event unless explicitly transferred to the client. Clients are prohibited from reproducing, modifying, or redistributing these materials without prior written consent.
Liability and Regulatory Compliance
Nexa Event L.L.C. is not responsible for delays, cancellations, or non-approvals caused by regulatory authorities. Clients are liable for all associated charges, including permit fees and additional costs imposed by governing bodies. Furthermore, Nexa Event L.L.C. will not be held liable for any fines or penalties imposed by government entities due to misinformation, incomplete documentation, or incorrect details provided by the client. It is the client's sole responsibility to ensure that all submitted information is accurate, complete, and complies with government regulations. Nexa Event L.L.C. endeavors to assist clients in adhering to regulatory requirements to the best of our ability but cannot be held accountable for fines or rejections arising from factors beyond our control, including errors or omissions on the part of the client.
Cancellation Policy
- Cancellations made 14-8 days before the event will incur a 25% charge of the total invoice amount.
- Cancellations made 7-3 days before the event will incur a 50% charge of the total invoice amount.
- Cancellations within 48 hours of the event will incur a 100% charge of the total invoice amount.
Payment Terms
Full payment is required in advance upon confirmation of services before the project's initiation. Any additional services requested during the project will be billed separately.
Unauthorized Activities
Engaging in activities not initially quoted or approved, without prior discussion and consent, is strictly prohibited.
Dispute Resolution
Any disputes arising from this agreement shall be resolved amicably through mutual discussion. If unresolved, disputes will be subject to the jurisdiction of the courts in the United Arab Emirates.
Force Majeure
Nexa Event L.L.C. shall not be held liable for delays or failures in performance due to circumstances beyond our control, including but not limited to acts of God, natural disasters, epidemics, wars, government actions, or any unforeseen events that make fulfilling the agreement impossible.

- Ensure to type all the correct information such as the name of the venue and the area (in square feet) and classify the site according to the requirements and conditions necessary for licensing event sites, and to ensure that the correct location is identified on the map.
- Registration a temporary venue for consumer exhibitions and Ramadan tents, please attach a no objection letter from the owner of the land and the site plan, in addition obtain the approval from the Investment Office of the Department of Municipalities and Transport.
- Some of activities that take place in some registered venues will be restricted according to the requirements and regulations.
- Register the venue of events (Ramadan or Summer tents) and to be within the hotel establishment area.
- The applicant will be contacted on working days of the week from Sunday to Thursday.
- Organizing companies are allowing to register temporary venues only.
- Registering as a permanent venue is only permissible by hotel establishments, tourist and floating restaurants, malls, business centers, museums, theaters, parks and other relevant locations by government entities.
- In case the applicant does not respond, the request will be returned for amendment, and accordingly, a date for inspection will be set later.
- In case any change to the venue, please update the information through the system to get the approval.

Specific Terms for RTA Advertisement Permit Services
1. RTA Permit Application Responsibilities
• Nexa Event L.L.C. will act as a facilitator to apply for RTA Advertisement Permits on behalf of clients.
• The client must ensure that all required documents and details are provided accurately and within the requested time frame.
• Nexa Event L.L.C. is not responsible for delays caused by incomplete or incorrect submissions by the client.
2. Compliance with RTA Regulations
• Clients must comply with all terms, conditions, and regulations outlined by the Roads and Transport Authority (RTA). Non-compliance may result in application rejection, permit cancellation, or additional fines imposed by the RTA.
• Nexa Event L.L.C. shall not be held liable for any penalties, rejections, or delays resulting from non-compliance by the client.
3. Document Requirements and Accuracy
• All documents must meet the specifications outlined by the RTA, including format, clarity, and authenticity.
• Any forgery or submission of unauthorized documents will be the sole responsibility of the client, and Nexa Event L.L.C. reserves the right to terminate the service in such cases.
4. Processing Time
• Permit processing times may vary depending on the complexity and scope of the application. Nexa Event L.L.C. will not be liable for delays caused by the RTA or unforeseen circumstances.
• Clients are encouraged to submit all necessary information and documents well in advance of their intended advertising start date.
7. Limitation of Liability
• Nexa Event L.L.C. acts as a third-party service provider and is not liable for any decisions made by the RTA regarding permit approval, denial, or suspension.
• Nexa Event L.L.C.’s liability is limited to the facilitation of the application process as per the agreed terms.
